12 Days of Aspen
Discussion on whether the CCLC should spear head the 12 Days of Aspen
and hire an event manager and oversee the event.
Nancy Lesley, Special Events Coordinator
Debbie Braun, ACRA Director
Nancy said last year council approval a supplemental budget for the 12 Days
of Aspen. The funding was spent on a XMAS tree, Santa, carolers; book
readings and tents at the gondola plaza. The Art museum did an art project
at the base of the gondola. At the XMAS tree site you could come sit on
Santa's lap and get your picture taken. You could also ski down from the
mountain etc. These events were in addition to what the ACRA put on.
Nancy said the ACRA also had carolers.
Andrew asked what the budget was. Nancy said she received $3,000.
Nancy said this year they intend to have Santa at the ARC for one day in
order to keep costs down. Last year numerous hotels and motels had XMAS
trees and Santas. We will also do New Years Eve.
Nancy said if no one does anything we will do carolers this year but we
cannot request additional funding.
Nancy said they used the performers from the Crystal Palace to sing.
Andrew said if we don't do this Debbie will give Nancy the $15,000. to put
on the event.
Don said his concern is why CCLC is interested in taking this on when
Nancy is available. Nancy can hire someone to put on the event.

Debbie said the ACRA cannot do it this year and that is why we have
approached the CCLC. If the CCLC doesn't want to put the event on we
have Nancy Lesley who will handle it.
Andrew said we need to raise an additional $5,000 to put on the event. We
could hire more carolers etc. We would also need to be flexible because of
the weather etc. Andrew and Bill said they were willing to help put this on
and start in October.
The other board members stated that XMAS is their busiest time and they
could not commit during December.
Andrew said whoever is in charge has to be at the site for the entire time.
Mark Goodman asked Debbie what was the most effective event. Debbie
said the reindeer were definitely a hit.
Don said if we do this the board will micro manage it. We are not in the
event business and it is not appropriate for us to do it.
Andrew said he has trouble with the board and what we do.
Terry said this encompasses the busiest time of year. Any other time she
would volunteer.
Andrew said the setup time is October.
Bill said we would need to find extra funding.
Bill said he has time and doesn't get busy until Dec,20
Don asked why do we want to do this? Is it an ego thing.
Andrew asked what is it that the CCLC does. This is something we can do
in the winter and it can be successful and the CCLC can get credit for it.
Mark Z said we can hire someone and not micro manage. We can have over
sight of the event.

Don said the event should be done and the CCLC should not put the event
on.
Bill said he needs more information. This is a one off year. Without more
money I don't think we should do it.
Mark Goodman said he is not closed to the idea but you might need more
resources. I am out of town all of November.
Terry said we are successful with the market and it might be a good idea for
XMAS. I can't give time to it. I feel more comfortable with Nancy
handling it and maybe Nancy can keep us informed.
Andrew said if we want money in the future we probably won't get it.
Debbie said they will do the ornaments which cost $600.
Debbie said we are already fund raising for Winterskol and we cannot
fundraise for other events.
Bill asked about additional funding through the city manager. Kathy said
nothing is available.
Debbie said the event can be done at $15,000.
Don said Nancy can hire the person she wants to do it.
Mark Goodman said we are concerned with a lower budget and we want to
do it right.
Motion: Don made the motion to let Nancy Lesley take over the 12 days of
Aspen for this year 2010; second by Bill.
Bill said I don't think this precludes us for asking for funding in the future.
Vote: Andrew abstained; Mark Z, yes, Bill, yes; Mark G, no; Don, yes;
Terry, yes
