HomeMy WebLinkAboutARC.min.090313 0 A RRS & RECREATION ASPEN RECREA TION CENTER ARC ADVISORY COMMITTEE Meeting Minutes September 3,2013 2:30-4:30 PM In Attendance: Board Members: Gordon Gerson, Sue Smedstad, Karen Dillon and Patrick Keelty Staff Member(s): Tim Anderson, Jon Larson, Travis Elliott and JoJo Smith Public: I. Call to Order— Sue Smedstad called the meeting to order. Committee member comments and announcements: No comments. Public Comments: No comments. Staff Comments: Jon Larson introduced Shaun Hathoway, the new hockey head coach for Aspen Junior Hockey (AJH). His background is with Colorado Springs amateur hockey. He would like to expand the numbers of participants as well as o provide more opportunities for the teams. Approval of Past Minutes: The minutes from August 6, 2013 were approved. II. Discussion Items: 1. Winter Ice Schedules: Jon stated the city purchased new ice specific software for scheduling and billing. Aspen Junior Hockey has purchased the same program for better integration and accuracy in the booking of ice. This will hopefully help with determining when ice slots open up and become available. Staff can send out notices to other ice users in a timely manner. Aspen Skating Club has purchased the Monday morning 6:30-7:30 am time slot. The city had a Freestyle session booked in that time slot in the past. Aspen Junior Hockey has all of the other mornings during the week. The Ice Allocation Policy was included in all of the ice user club contracts this year. Staff is also looking to get the number of registered active participants in each of the clubs. 2. Learn to Skate Program: Colleen Collins has been hired as the Program Coordinator for ice activities. She will get with the all of the ice user clubs and check on what their needs are for a Learn to Skate (LTS)program as well as other possible programming. Her schedule is 10 hours a week. She will start in October. 3. AC Terms: Tim has posted openings available in the Advisory Committee (AC) members. He has posted an invitation for any applicants that are interested in becoming a member. 4. Dry Floor Event: The American Institute of Architects is interested in hosting a conference in October of 2014 at the Aspen Ice Garden(AIG). This may be a two year contract for the one week event. The city would negotiate with the regularly scheduled user groups to help make this event happen. III. Updates and Progress Reports: 1. Financial Report: October is the 2014 Budget kickoff. Several of the fees are going up such as $5 per hour for ice. Overall for 2013 the daily admission revenue is up while pass sales are down. Expenses are slightly down. 2. 2013 Business Plan Update: Invitations to user groups have been sent out for the September 25th and 26th. There will be three meetings per day. Some of the group meetings are user specific such as ice and fitness. Ads have been placed in the paper. There is a RSVP area set up to encourage commitment from participants. After information is gathered from these focus groups, larger community meetings will be held. Survey questions will be developed and the results will be presented to city council. Travis Elliott and Jeffrey Alden will be working on the cost analysis piece of the Business Plan. Target date to meet with city council will be approximately February/March of 2014. 3. AIG Remodel Progress: The main part of the project should be finished this week. Locker room#4 should be done next week. Locker room#3 is set to go. The project has gotten through the code regulations and needed upgrades that happened along the way. There will be funding for the gutting of locker room #2 as well as the air handling (HVAC) system in 2014. Next year, the Aspen Ice Garden (AIG) will be celebrating its 501h anniversary. There will be a celebration to show off all of the improvements. 4. SPARC Improvements to LIA: SPARC has hired a contractor to repaint the shared wall of the Lewis Ice Arena(LIA) on the mezzanine. The purple color will be changed to a gray and accent colors will be added. There will also be a new wood paneling added using beetle-killed pine along the mezzanine wall. Television screens will be added along the mezzanine. Engineers have been called in to look at the electric issues along the mezzanine for the extra power needs. S. Fall Closure Week: The fall closure dates are Saturday, 9/7 noon through Sunday, 9/16. The pool needs to be looked at for possible leakage and structural damage of a visible crack. Areas around the ARC will have mud- jacking applied due to the settling of the building. The steam room is being re- done and will take approximately 6-8 weeks to complete. Chemical room is also being rebuilt. The waste recovery unit will be looked at as well. A new slide will be installed next year. IV. Action Items: 1. None. V.
