Subject: Removal/Replacement of Deteriorated Beams in Front Entry Porte Cochere
Scope of Work
During routine Spring maintenance it was discovered by a subcontractor and Hotel Jerome Staff on
April 20, 2022 that the east timber girder carrying the deck/roof joists of the Front Entry Porte
Cochere was badly deteriorated. Hotel Jerome staff immediately contacted TK Engineering(TK) as a
licensed Structural Engineering Firm to come to site to observe existing conditions and propose a
remediation solution.
On April 21, 2022, TK met with City of Aspen (CoA) staff from Engineering, Community Development
and Historic Preservation. Additionally, personnel from Aspen Constructors (local General
Contractor) and Sheldon Hoelsken (Hotel Jerome Director of Engineering)were in attendance. The
existing deteriorated conditions were reviewed up close by TK personnel from a ladder and it was
noted that the south end of the east beam has failed and crushed approximately 1/2-inch. The
north end of the east beam did not show significant signs of deterioration. TK inspected the west
timber girder and observed the initiation of deterioration at the north end. Of what was observable
the south end of the west beam appeared sound.
In coordination between CoA staff,TK, Aspen Constructors, and Hotel Jerome it was decided that
both the east and west timber girders would be removed and replaced. Of note the following
conditions/terms were discussed and approved:
1) All parties in attendance agreed that this would constitute an "emergency repair" and needed to
be addressed as soon as possible. The hotel reopens on May 25, 2022, and would like this work
completed on or before May 20, 2022 so as to allow hotel staff time to prepare the front entry
ahead of reopening.Aspen Constructors will clean all construction related debris from the site
and return the area to preexisting conditions prior to demobilizing from site. RECEIVED

2) All visible trim,flashing, and historic architectural features are to be returned to their
preexisting condition. Aspen Constructors is to 'surgically' remove any metal flashing or historic
trim features so that they may be replaced at the end of the removal/replacement of the
affected timber girders.
3) CoA Engineering will work directly with Aspen Constructors on a construction management plan
and divert pedestrian traffic around the porte cochere, through a protected barrier to be
located in the parking spaces immediately south of the hotel and back onto the sidewalk.
a. Aspen Constructors will drape the (3) exposed sides of the porte cochere from roof level
to road level so as to provide visual block and a safety barrier for passers-by around the
porte cochere.
4) Aspen Constructors is to lay down ground protection to protect the bricks at the front entry of
the hotel. All scaffolding, screw jacks,temporary shoring walls, etc... are to bear on a material
that will not mar, scrape, or otherwise damage the sidewalk surface.
5) TK personnel will be on site during removal of the existing timber girders and replacement of
the new W8 structural steel beams to ensure all elements are removed and replaced per the
engineering drawing attached herein.
Attached to this memo are a series of photos showing the existing conditions. Additionally, attached
herein, there is a repair plan that will outline the proposed remediation action for the deteriorated
timber girders.

This memo provides general assumptions by TK Engineering Consultants, LLC for work to be
completed by a licensed, bonded, and insured General Contractor in the State of Colorado.These
recommendations are strictly limited only to items of work and components of the subject building
specifically discussed within this memo.
The Contractor shall be responsible for all means and methods of construction including forming,
connections, lateral bracing, and shoring. The Contractor shall undertake all necessary measures to
ensure safety of all persons, equipment, and existing structures at the project site. Observation visits
and/or inspections by TK Engineering Consultants, LLC will not include recommendations or review
of these measures.
The Contractor is required to take precautionary measures to protect any and all utility lines
including those not on record or discussed in this memo.
The Contractor shall notify the Owner and Engineer immediately of any changed site conditions.
