PARKS &.RECREATION:, ASPEN RECREA TION CENTER ARC ADVISORY COMMITTEE Meeting Minutes November 4, 2014 2:30-4:30 PM In Attendance: Board Members: Gordon Gerson, Patrick Keelty, Karen Dillon, and Scott Writer. Staff Member(s); Tim Anderson, Erin Hutchings, Bryan Lee, Wes Graham, Susan Arenella, Jeffrey Alden and JoJo Smith Public: Toni Kronberg 1. Call to Order—Scott Writer called the meeting to order. Committee member comments and announcements: December 6" is the Figure Skating Invitational here at the Lewis. Public Comments: Toni Kronberg updated the group on some of the possible changes coming to Snowmass Village such as a new community pool and a high altitude training center. Staff Comments: No comments Approval of Past Minutes: Meeting minutes were approved. II. Discussion Items: 1. Waste Heat Recovery System LIA: Not covered 2. Ice Garden Dry Floor Rentals: There are two local individuals that want the summer art and antique shows to not be hosted at the Aspen Ice garden (AIG). Tim will meet with these two to get their perspective on the shows. Scott Fetzer, one of the summer shows wants to have a contract in place for the summer of 2015 as soon as possible so that he can secure vendors. Tim stated this is a benefit to a greater good rather than two individuals wanting something different. These two individuals have been asked to participate in the shows as local vendors. Neither have done so. III. Updates and Progress Reports: 1. Financial Report: Jeff sent out the financial report prior to the meeting. Pass sales are down. The daily admission is up. Most of the daily admission is local. Both the Red Brick and pool revenues are up. October had nice weather. 2. Business Plan Draft Review: Scott asked about the economic impact factor in the business plan Tim stated there is no good measurement for this impact. Scott suggested that maybe ACRA or SPARC could do a survey to help get the economic impact data. The document needs to flow better. The annual parks and recreation retreat participants will work on the business plan this coming November 18th. Michael Svetz from Pros will be there to facilitate the meeting. The city council meeting is currently scheduled for the Jan 27th work session. 3. Air Quality in Aquatics Area: The two air handlers were rebuilt and enlarged by the engineering department. The air quality will be watched. Erin brought up the possible use of moss for the pool area. This is something new and used by numerous facilities. Toni Kronberg was concerned about the water quality after such big parties as the Gay Ski Week party. 4. Water Slide Replacement: Not covered 5.' New Concessionaire: Not covered 6. Winter Promotions: Wes Graham from the city of Aspen special events and marketing department gave an overall summary of the current marketing programs that are happening throughout the recreation department. The biggest and newest promotion is the Black Friday pass. This is available to purchase for $199 from November 28 —December 1St. The pass is good for the length of the ski season,November 28 through April 12th, 2015. It can only be purchased online. Keith Bulicz and Wes have been hitting the radio stations with all of the information. The Reach facility information boards have both a Black Friday ad as well as a promotional commercial for the parks and recreation department running continuously. There are flyers on both Dominos and Taster's pizza vendors. The digital skins are on the Aspen times e-edition. All of this information will be included in the Aspen Skiing Company Human Resource hiring packets. There is also a specific target market pass for the visitor. The areas that are being targeted are Chicago, Dallas, Los Angeles and New York City. The visitor can pre-purchase a family of four pass for $59 for the week of their stay. There will be a matrix of sales after the promotions stop running to determine effectiveness. The committee and staff thanked Wes for the great presentation and all of the marketing that is being done. IV. Action Items: 1. V.
