Here's What to Expect Body: Dear PATRICIA WEBER: I have received your permit application. I will be your Permit Coordinator. The City of Aspen permit process works as follows: Completeness Review: I will be reviewing your permit application for completeness in the next 5 business days. I will follow up with you directly if I need any additional information. Submittal Fees: Once your permit is deemed complete, I will provide you with a list of all permit submittal fees that are due. Your permit will not be placed into our review queue until payment of all submittal fees is received. Permit Review: Your permit will be placed in our review queue on the date that the submittal fee payment is received. Each review agency triggered for the review will either approve the permit or issue comments that you are required to address prior to their approval. You can see the status of all reviews by going into your permit on the portal, clicking on ‘Related,’ and scrolling down to ‘Reviews.’ Comment Response: Once you have addressed all agency comments, both in writing and on your plans, you will resubmit all documents via the portal. Just go into your permit, scroll down to the bottom of the page, and use the ‘Add more’ button. You must notify me when you have uploaded your files for me to know that you have resubmitted. You can use the portal’s Chatter feature (see below). Issuance: Once all agencies have approved your permit, you will be notified that it is time to pay your permit issuance fees. Once you do so, your approved plans and permit documents will be sent to you electronically. Additional Important Information: Only after I perform a completeness review and submittal fees are paid will your permit be accepted into our system as a formal submission. At that time, it will be put into the permit work queue. I may need to meet with you—either in person, over the phone, or via a virtual meeting—before I can finish my completeness review to ensure that I have a full understanding of your project’s scope. If you need to contact me about your permit, I encourage you to use the Chatter feature on your permit on the applicant portal. When you use Chatter, I get an email, but it also gets attached to the permit record in the back office. So, anyone looking at the permit can see the conversations. This will be very helpful if someone else needs to get involved with your permit. To use Chatter: Open your permit on the portal. In the ‘Share an update…’ box, type @, then start typing my name.
